Notes

A quick note attached to the client or case, visible to whoever has permission — not to whoever finds the paper.

The notes space

A note is not a line in a notepad:
it is a space with pages, and a place it belongs to.

Open Notes from the top bar on any page. Press any note and its space opens: pages inside it split the idea into its chapters, and it saves as you type. The checkbox strikes a note through rather than deleting it — so what is finished still leaves a trace.

The core idea

Start from one client's story instead of three generic messages: a small print shop delivering an order in two days instead of a week. The story carries the number; the number alone cannot carry itself.

Scene one: the order arrives on WhatsApp.

Scene two: it becomes a task with an owner and a date.

Scene three: delivery and invoice on the same day.

As long as the thread stays one story, the campaign needs no extra explanation.

Three kinds of note, not one

Where you write a note
decides who finds it two months later.

There are three kinds, not one: what is yours alone; what belongs to a case or a client and is seen by whoever has permission; and what belongs to a specific file and sticks to it. The difference is not the text — it is the place.

A personal note

From the top bar on any page: its title on the shelf, its content in pages inside it that save as you type. Yours alone — not shared, not visible to anyone.

Where it lives: the top bar, open above whatever page you are working on.
A note on the case or the client

Written inside the case record with its author and timestamp. A colleague opens it and reads what you said without asking you — and it is seen by whoever has permission, not by whoever happened past the desk.

Where it lives: the Notes tab inside the case or the client record.
A note on the file or the folder

The reason for a decision sticks to the file itself: why this colour was approved, why the previous version was rejected. Whoever opens the file two months later finds the reason with it, not in a chat that has scrolled by.

Where it lives: the file details panel on the Files page.
Bad habits

Where do your notes go today?
On paper, or in an app that knows nothing about your work.

Six habits that look faster today and cost you in two months: a note with no place, one with no author, and a third that is really a forgotten task. Each has a price — and a clear alternative.

A sheet on the desk or a side notebook

The note lives on one person's desk: it cannot be searched or read remotely, and if its owner is away it is away too. The first desk tidy-up swallows half of them.

Write it in the platform and it is searchable by word, and it survives its author's holiday and their departure.
A separate notes app on your phone

The app knows the note's text but nothing of your client or your case. So you open the platform to work, the app to remember, and copy between them by hand every time.

The note in the workplace itself: attached to the case or the client, so you reach it from their record rather than from memory.
I will message it to myself

A message to yourself drops into the stream and sinks under twenty others. No title, no order — and a week later you are searching for a word you half remember.

The shelf gives it a title, a date and search; its space gives it pages — instead of a line adrift in a chat.
A note with no author and no time

We agreed on green — who said it, and when? Two months later the note becomes the argument instead of settling it, and the discussion starts over.

Every note on a case carries its author and time automatically — so it reads as a record, not an anonymous opinion.
An important note inside the group chat

Everyone sees it today and nobody finds it a week later: a group is a torrent, and a note in it is a passing moment, not a reference to return to.

What you will come back to gets written as a note in its place; chat stays for discussion, not for archiving.
A note that is really a task

We must review the Arabic copy is a note with no owner and no date — so it stays a good intention until somebody discovers on delivery day that it never happened.

What needs an owner and a date becomes a task with # from the conversation; what only needs remembering stays a note.
Tips

Four habits that keep your notes readable months later.

Write the note where its subject belongs

A note about a client goes in their record, a note about a file goes on it, and what is yours alone goes in your personal notes. The place is what makes it findable later without hunting for a word you forgot.

Split a long note into pages

A single note here is a space, not a line: a page for the idea, a page for the objections, a page for the figures. You open what you need instead of reading everything from the top.

Finish a note with the checkbox, not with delete

Striking through keeps the trace: a month later you know what was missing and when it was done. Deleting erases the question along with the answer, so you rediscover what you already knew.

Anything with an owner and a date is not a note

A note reminds; a task gets done. If a line has an owner and a date, turn it into a task with # — and keep in your notes only what needs remembering.

Put Notes to work

Try it with your team and judge after the first hour.
